Ministry of Education has officially opened the digital portal for Grade 10 school transfers following the release of the 2025 Kenya Junior School Education Assessment (KJSEA) results.

With the reporting date set for January 12, 2026, parents are working against a tight deadline to navigate the new KEMIS (Kenya Education Management Information System) requirements.

To help you successfully outmaneuver the system and secure a slot in your preferred Senior School, we have compiled ultimate checklist of documents and the exact procedure you need to follow.

    The ‘Must-Have’ Document Checklist

Unlike previous years, the 2026 transfer process is 100% paperless. You cannot “walk in” to a school with a physical letter. You must have digital copies of the following:

    •  Assessment Number: Your child’s unique 2025 KJSEA index.
    • KJSEA Performance Summary: A breakdown of the 60% summative and 40% formative scores.
    • Verified Birth Certificate: Ensure the certificate is linked to the learner’s Nemis/Kemis profile.
    • Pathway Approval Form: Evidence that the student is qualified for their chosen track (STEM, Social Sciences, or Arts & Sports).
    • Junior School Release: A formal digital request initiated by the current Head of Junior School.

How to Navigate the Transfer Portal

The Ministry has warned that any transfer conducted outside the Grade 10 Selection System will be considered null and void. Follow these steps:

    •  Check for Vacancies: Schools must first declare available slots through the Sub-County Director of Education. Do not apply to a school that has not declared a vacancy.
    •  Submit the Request: The request must be logged by your current Junior School head at least 14 days before the reporting date.
    • Track Approval Status: Once the Ministry approves, the joining instructions will be generated online. Schools are strictly prohibited from issuing hand-written or printed letters.
    • Finalize Admission: The transfer is only complete once the student physically reports and the receiving principal “activates” them on the KEMIS portal.

    Why Most Transfers Fail

Many parents face rejection because they apply to schools that do not offer their child’s specific subject combination.

For instance, if your child tested in Aviation or Agriculture during Grade 9, you must transfer to a school equipped for those specific STEM tracks.
